FAFSA Outreach - Counselor Information

Objective

Provide one-on-one counseling to NC students and parents to assist them in completing the FAFSA.

Measure of Success

An increased rate in FAFSA completion across the state (as viewable in the FAFSA Tracker).

Assignment Notification

FAFSA Counselor applicants whose availability and choice of site is a match with a participating college or university will receive an email notification from College Foundation, Inc. (CFI). The notification will include:

  • The college or university that you have been matched with.
  • 3 attachments: the FAFSA Summer Help Consulting Agreement a W9, and a Direct Deposit Form.
  • A link to securely upload the completed forms, if you wish to accept the position. Completed and signed forms must be uploaded no later than 3/28/25.
  • The email address for your Host Site contact (i.e., they will be copied on the email notification). Please reach out to them directly on your work schedule and any other logistics that you may want to confirm before accepting the position. 

Your Role

You are part of the team to help NC students with their FAFSA completion!

  • Report to host site on agreed upon working days/times (e.g. Monday-Thursday).
  • Track time, outreach efforts.
  • Complete and submit timesheets by the requested deadlines. (See Pay Periods & Timesheets section below).
  • Work through the provided outreach list, noting attempts to reach students. Please do not send any bulk emails. Outreach efforts should be on an individual student basis. 
  • Document number of students assisted.
  • Help with college/university FAFSA completion events/activities as needed.
  • Assist walk-in students and parents with FAFSA completion and correcting errors, including current college students and adult learners.

Length of Engagement

June 16 to July 31, 2025.

Training

A virtual training session will be held on 5/5/25 at 1 PM EST. Please register for the counselor training.

A recording will be available for those who are unable to attend the training. We require that you attend the training or listen to the recording prior to your first day on the job.  The Training will include everything from FAFSA information, to how to complete the Student Outreach Tracking sheet, to how to upload your Timesheet to get paid.

Host Site Responsibilities

  • Provide counselors with contact information for a Host supervisor.
  • Provide access to campus and space for counselors to assist students/families with their FAFSA.
  • Provide a phone for counselors to call those that have completed a college application but not a FAFSA and a phone number so students can call them back.
  • Provide necessary set up (computer/internet access, key card access as needed).
  • Work with counselor to agree on a schedule (e.g. Monday-Thursday, 30 hours/week).
  • Optional: Provide a campus-specific list of students for the counselor to reach out to.  (Counselor will also work off of a list provided by CFNC of students who have completed a college application, but not a FAFSA).
  • Provide supervision and oversight of the counselor, including signing off on hours worked and outreach efforts to earn stipend.  Notify NCSEAA if host site supervisor determines a counselor isn’t meeting expectations and wishes to terminate the engagement. 
  • Ensure counselors submit their timesheets to CFI by the required due dates:  7/2/25 for June hours worked and 8/4/25 for July hours worked.
  • Provide the counselor with whom to escalate an issue to, in the event they have a problem with a student/parent that they cannot handle.
  • Host site is responsible for the security of any Host systems or PII data that counselors are given access to at their site.
  • Ensure the Counselors assigned to your Site are clear on their work schedule and are provided with all the logistical information that they will need to start on 6/16/25 (e.g., campus location, parking, building access, phone and equipment information, etc.)

Host site acknowledges that FAFSA completion help is for all students, not just those planning to attend their institution.  Help can also include assisting existing college students who need to complete their FAFSA for the upcoming school year. 

Student Outreach Tracking Sheet

Use the Student Outreach Tracking sheet to track how you assisted each student and/or parent.  This information will be compiled by NCSEAA/CFI to provide metrics on the success of this outreach initiative. Bulk submissions are not acceptable.  Bulk outreach attempts will have already been made by CFNC. The purpose of this assignment is to provide more personal support.

Pay Periods & Timesheets

  • You are approved to work up to 40 hours/week for a total of 280 hours over the 7 week period.
  • Wages will be paid monthly by College Foundation, Inc. via direct deposit.
  • Use the Timesheet to log your hours.
  • The Host supervisor is responsible for verifying your hours worked.
  • Print a copy of your timesheet at the end of each pay period (see dates above) and get your Host supervisor to sign-off on it. Scan the timesheet then upload it via this upload form.
